The practice customer and plan export
Make a practice customer to try things on without touching billing, reports or your licence, remove it when you are done, and export the plan as a PDF or CSV.
Learning a new tool on real customers is nerve-racking. The setup helper can make a practice customer with realistic contacts, devices, tickets and a contract, so your team can raise tickets, log time, draft an invoice and run reports on it without any of it reaching your books, your reports or your customers.
Making the practice customer
The Practice customer card is on the discovery page, above your plan. Someone who manages setup can make one.
- Open Set up in the rail and press Discovery and plan.
- On the Practice customer card, press Make a practice customer.
Tenvara makes Northgate Dental (practice) with:
- a site and four contacts on the reserved
.exampledomain, so no email can reach anyone real; - four devices without agents: a virtual server, two workstations and a laptop;
- four tickets, as if opened by phone;
- a Managed IT (practice) contract in your own currency.
Everything is tagged Sample so nobody mistakes it for a real customer. Nobody is notified about its tickets and no mail goes out while it is made. There is only ever one practice customer at a time: once it exists, the card shows it with its contacts, devices, tickets and contracts.
Tip: Give each new starter in your team a ticket on the practice customer to work end to end: reply, log time, add a note, resolve it. It is the quickest way to learn the service desk.
What it is kept out of
The practice customer shows on operational screens like any other customer (customer lists, tickets, Home), tagged Sample. It is kept out of everything that touches money or your figures:
| Kept out of | What that means |
|---|---|
| Invoice runs | It is never billed or put in an invoice run |
| Issuing invoices | You can make a draft invoice to practise, but it can never be issued, so it never uses a real invoice number |
| Your accounting system | It is never sent to Xero or QuickBooks, and never posted to the ledger |
| Reports across customers | Left out of reports for all customers, profitability, recurring revenue and MRR. A report run for it by name still shows it, so you can practise reports too |
| Monthly customer reports | No monthly report is made for it |
| Your licence | Its devices and the customer itself do not count against your licence |
Removing it
When you are done, remove it from the same card.
- Press Remove the practice customer.
- Confirm. It removes the customer and everything it holds: contacts, devices, tickets, contracts and draft invoices.
Making and removing it are both in the audit log. You can make a new one later.
Exporting the plan
The plan is useful outside Tenvara too: for a kick-off meeting, a board update or your own project tool.
- Open Set up in the rail.
- Press Export the plan.
- Choose PDF or CSV.
| Format | What you get |
|---|---|
| The plan with your branding, in your language: each phase and section in order with its state, owner, estimate and due date, the work left and the target date | |
| CSV | The same, one row per section, for a spreadsheet or a project tool |
The export is the plan as it stands. As sections finish and answers change, export it again. If your discovery answers change, press Build it again on the discovery page first. See Discovery and your plan.
On a phone
The setup helper works on a phone too. A section shows a progress bar for the six beats instead of the side list and walks you through one beat at a time, which suits checks you want to run while standing in a comms room.
